The hook

By the time a workplace opens, dozens of people have shaped it - and the designer who knows who they all are, and when each one matters, is the one whose ideas actually survive contact with reality.

There is a comforting myth, common among students, that designing a workplace means a talented individual producing a beautiful plan which then gets built. The reality is both humbler and more interesting: a workplace is made by a large, shifting team of people with different goals, budgets and expertise, working across a boundary between the building's owner and its occupier, through a sequence of stages that can run over many months. The designer is one voice among many - an important one, often the one holding the vision together, but one who succeeds only by understanding everyone else in the room and when each of them matters.

This lesson is the map of that team and that process - deliberately placed at the end of Module 0, before the design modules begin, because every later decision you make will land inside this structure. Draw a gorgeous plan that ignores the base-build the landlord will hand over, the budget the cost consultant is tracking, the code the fire specialist enforces, or the reality the facilities manager will have to run for years, and your plan will be changed without you. Understand the cast, the landlord-tenant split, and the stages, and you design work that can actually be built, afforded, approved and lived in - which is the difference between a drawing and a workplace. We will meet the players, untangle base-build from fit-out, walk the project stages, and locate exactly where the designer fits and leads.

The cast: client, design team, specialists and supply chain

A workplace project assembles four broad groups, and a designer should be able to name them and know roughly what each wants. First, the client side - the organisation paying for and moving into the space. This is rarely one person. Leadership sets the vision, the budget and the big calls about how the organisation wants to work. HR and 'people' teams care about employee experience, wellbeing, attraction and the change of moving everyone. IT owns the technology, networks, audio-visual and increasingly the booking and sensor systems a modern office relies on. Facilities management (FM) will run and maintain the space for years after everyone else has left, and their voice - too often ignored until too late - decides whether a beautiful design is actually operable. A growing number of clients also appoint a workplace strategist (sometimes the designer, sometimes a specialist) who studies how the organisation works and sets the brief before a plan is drawn.

Second, the design team. The architect typically leads the building-scale and base-build thinking; the interior designer (or the interiors arm of the same practice) leads the fit-out - the planning of settings, materials, furniture and experience within the shell. A project manager (PM) coordinates the whole effort, programme and stakeholders, and a cost consultant (quantity surveyor) tracks and controls the budget from early estimate to final account. These are the people most consistently present across the project.

Third, the specialist consultants, each covering a domain too technical and safety-laden for generalists: MEP / services engineers (mechanical, electrical, plumbing - the air, power, water and systems), fire and life-safety consultants, acoustic consultants, structural engineers where the base-build is touched, lighting designers, and accessibility consultants. Their binding inputs are where this course defers to current codes and standards. Fourth, the supply chain that realises it: furniture dealers and manufacturers (in India a large, varied market supplying and installing systems furniture and loose FF and E), the main fit-out contractor and their trades, and often specialist sub-contractors for joinery, partitions, flooring and AV. Knowing this whole cast - and that each has legitimate, sometimes competing goals - is the first step to working well within it rather than being surprised by it.

Base-build versus fit-out: the landlord-tenant boundary

The single structural idea that confuses newcomers most, and that shapes almost every office project, is the split between base-build and fit-out - and the landlord-tenant relationship that usually sits beneath it. Most organisations do not own their office building; they lease space in a building owned by a developer or landlord. That ownership split creates two distinct layers of work.

The base-build (or 'shell and core') is the building itself, delivered by the landlord: the structure, the facade and windows, the core (lifts, stairs, main toilets, risers), the main building services brought to each floor, and the basic floor plate. It is typically fixed, expensive to change, and common to all tenants. The fit-out is everything the tenant does inside their leased floor to make it their workplace: the layout of settings, partitions, finishes, furniture, feature lighting, branding, and the distribution of services around the space. This is where most workplace interior design happens, and it is the layer the designer has most freedom over.

A widely used vocabulary refines this. A warm shell is a base-build with basic services and conditioning in place but no interior finish. Category A (Cat A) fit-out is a landlord-provided baseline finish - raised floors, suspended ceilings, basic lighting, conditioning and finished walls - a blank but usable floor. Category B (Cat B) is the tenant's bespoke fit-out on top: the actual workplace design, the settings, the identity, the furniture. Much of this course lives in Cat B. The practical consequences are large and worth internalising early. The base-build sets hard constraints the fit-out must accept - floor depth, ceiling height, column grid, core position, daylight, and how much services capacity is available - and these are difficult or impossible to change later. Lease terms matter too: how long the tenant has the space, what the landlord will and will not permit, and crucially the dilapidations obligation to return the space to its original state at lease end, which quietly shapes how permanent a fit-out can responsibly be. A designer who reads the lease and the base-build drawings before falling in love with a plan avoids a great deal of expensive heartbreak.

The project stages: from brief to handover and beyond

A workplace project moves through a recognisable sequence of stages. The names vary by country and by the framework a practice uses, but the logic is near-universal, and knowing it lets you place any conversation in its proper moment.

It begins, or should, with strategy and brief - understanding the organisation, how it works and what it needs, and turning that into a clear brief and budget before anyone draws a plan (Module 1 is devoted to this). Often a feasibility and site-search phase runs alongside, testing whether candidate buildings can even hold what the organisation needs. Then concept design - the big moves, the overall planning idea, the look and feel, tested against the brief and budget. Then developed or detailed design - the scheme worked up properly, coordinated with all the specialists, settings and materials resolved, approvals prepared. Then technical design and documentation - the drawings, specifications and schedules precise enough to build and price from. Then tender and procurement - pricing the work, selecting the fit-out contractor and the furniture supply, and letting the contracts (Module 9 covers budget and procurement). Then construction and fit-out on site - the physical build, with the design team administering the contract, answering queries and controlling changes and quality. Then handover and occupation - completing, commissioning the systems, snagging the defects, and moving people in, which is a project in itself (Module 10). And, increasingly, a stage that used to be skipped: post-occupancy evaluation - returning after people have settled to learn how the space actually performs and feed that back into the organisation and into future work.

Two honest points about stages. First, they overlap and loop in reality far more than a tidy diagram suggests - budgets force concept revisions, long-lead furniture is ordered before documentation is finished, and good design is iterative, not a clean relay race. Second, the earliest stages have by far the most leverage: a good decision at brief or concept is cheap and powerful, while the same change during construction is expensive and disruptive. Effort and care invested up front - understanding the organisation and getting the concept right - pays back many times over, which is exactly why this course spends its first modules on people and planning before a single material is chosen.

Where the designer fits - and leads

With the cast, the boundary and the stages in view, where does the designer sit? The honest answer is: in the middle, as one crucial voice, and often as the person holding the vision together across everyone else. The work is far more collaboration and coordination than solo authorship, and that is not a demotion - it is the nature of making something this complex, this expensive and this consequential for real people.

The designer's distinctive contribution is the one no one else quite owns: translating what the organisation needs into a coherent, humane spatial vision, and then defending the integrity of that vision as it runs the gauntlet of budget, code, buildability and a dozen stakeholders. The cost consultant guards the money, the fire specialist guards life-safety, the FM guards operability, the contractor guards the programme - all legitimate - and without someone guarding the human and design intent, a workplace quietly decays into the cheapest, most code-compliant, easiest-to-build version of itself, which is rarely the best for the people in it. That guardianship is the designer's deepest job, and it requires understanding everyone else well enough to argue with them fairly and find the solution that serves people without breaking the budget, the code or the programme.

Practically, this means a few habits worth forming now. Engage the quiet voices early - especially FM and IT, and real end-users, not just the leaders who commissioned the project - because their knowledge prevents expensive mistakes and their buy-in makes the change succeed (Module 10). Coordinate continuously with the specialists rather than designing in a bubble and handing over a fait accompli. Respect the money and the programme as design constraints, not enemies; the best designers make beauty and humanity within real limits, which is harder and more valuable than ignoring them. And hold to the boundary this whole course observes: lead the design thinking and judgement, but defer the binding technical specifics - fire and egress, accessibility dimensions, services capacities, certification requirements - to the current codes and standards and to the specialists whose job they are. Understand the whole game, play your own position with conviction, and protect the people the building is for: that is what it means to be the designer on a workplace project.

You most often own the base-build end of this map - the shell and core, or the negotiation with the landlord's design over what the occupier is handed. The decisions you make or accept there (floor plate, core, heights, daylight, services capacity, Cat A standard) set the constraints every fit-out designer downstream must live with, so understanding the whole chain lets you hand them a plate that supports a real workplace rather than forcing them back toward the grid. You frequently lead the overall project and coordinate the consultant team, which makes the stage map and the cast your working diagram. Engage FM, IT and the specialists early, read the lease and dilapidations terms, and defer structural, fire, services and accessibility specifics to code and the relevant engineers.

The fit-out - Cat B - is your home ground, and this lesson is the context you must not design without. Your freedom lives inside a base-build you did not choose and a lease that sets real limits (what the landlord permits, how long the tenant has it, the dilapidations obligation that shapes how permanent your moves can be), so read those before you plan. You will coordinate constantly with the PM, cost consultant, MEP, acoustic, lighting and accessibility specialists and the furniture dealers who realise your FF and E - the supply chain is part of your craft (Module 9). Above all, you are usually the guardian of the human and design intent against the pull toward the cheapest, easiest-to-build version; engage end-users and FM early, and protect the vision through every stage.
