Every workplace plan rests on a few numbers - area per person, net versus gross, desk density - and learning to read them as starting points to calibrate rather than rules to obey is the first real skill of programming a space

A space standard is not a law of nature - it is a number someone chose, for some organisation, in some year; your job is to choose the right one for yours.

Ask how big an office should be and you will be offered a number within seconds: so many square metres per person, so many desks per thousand square feet. The numbers feel authoritative, they are easy to multiply, and they let a brief become a budget on a single spreadsheet row. That convenience is also their danger, because a borrowed number carries a borrowed set of assumptions - about how many people come in, what work they do, how much they share - and those assumptions are almost never yours.

This lesson is about the handful of numbers that size a workplace and, more importantly, about the discipline of reading them well. We will separate net from gross area so you know what a figure actually counts, look at efficiency ratios that tell you how much of a building you can really use, and examine desk density and the clear direction it is travelling - toward fewer assigned desks and far more shared and varied space. Treat every figure here as an illustrative benchmark, as of 2026, to calibrate against a real organisation with real occupancy data - never as a rule to copy. Good programming begins when you stop asking 'what is the standard?' and start asking 'what does this particular client actually need?'

Net vs gross is not pedantry - it is the difference between a plan that fits and one that cannot.

What a space standard really is

A space standard is a planning figure that expresses how much area an organisation allows for a given thing - most often area per person, but also area per desk, per meeting seat, or per function. It exists so that a brief can be sized before a single wall is drawn: multiply the standard by the headcount and you have a rough area target, which becomes a rough budget, which lets the project begin. Historically these numbers lived in corporate real-estate manuals and fit-out guides, and a typical figure for a whole office - including its share of meeting rooms, circulation and support - might have sat somewhere around ten to twelve square metres of gross area per person, with denser operations lower and more generous or cellular ones higher. Treat those figures as illustrative, as of 2026, and calibrate them to the real organisation rather than lifting them into your brief.

The first thing to understand is where a standard comes from, because that tells you how much to trust it. Some are internal policies - a company decides every engineer gets a 1.6-metre desk and every six people share one meeting room - and these encode that organisation's culture and cost appetite, not a universal truth. Some come from benchmarking surveys of many companies, which are useful for orientation but blend wildly different businesses into an average that may match none of them. And a few dimensions are genuinely not matters of preference at all: minimum clearances for accessible routes, egress widths and occupant loads are set by code, and those you verify against the current standard (NBC 2016 and the relevant IS standards) and the specialist, never invent.

The second thing is that a single headline number hides a lot. 'Ten square metres per person' means nothing until you know whether it counts the whole floor plate or only the desks, whether it assumes everyone has an assigned seat or the office shares desks, and how much of it is given to collaboration rather than solo work. Two offices at the same area-per-person figure can feel utterly different - one a crowded desk-farm, the other a varied, humane place - depending entirely on how that area is split. The number is a doorway, not an answer; the rest of this lesson opens it.

Net versus gross - what a figure actually counts

The single most common error in sizing a workplace is comparing numbers that count different things. Area is measured in nested layers, and a figure is only meaningful once you know which layer it refers to. From the outside in, a useful mental model runs: gross (construction) area is everything inside the building envelope, the full floor plate including external walls, the core, risers and plant; net internal area strips the external walls; net usable area further removes the building core - the lifts, fire stairs, main toilets, major vertical services and primary lobbies that every tenant needs but no one occupies; and net occupiable area, sometimes called carpet or workspace area, is what remains once you also set aside the primary circulation that gets people through the floor. Your desks, meeting rooms and social settings live in that innermost layer. The diagram shows the four nested zones.

Why does this matter so much in practice? Because a landlord quoting 'area' almost always means a gross or chargeable figure that includes your share of the core and common areas, while the area you can actually fill with work settings is the net occupiable figure - and the gap between them can be a quarter to a third of the whole. If you size your furniture plan against the gross number, you will confidently promise a layout that physically cannot fit. Conversely, if you brief a client on net occupiable area but they budget rent on gross, the two of you are planning different buildings.

The ratio that connects these layers is the efficiency ratio (often net-to-gross, or its inverse the loss factor). A building with a compact, well-placed core and a sensible floor-plate shape might let you use a high proportion of its gross area; one with an oversized core, awkward columns, deep re-entrant corners or a very thin plate will waste more, and no interior cleverness fully recovers it. Efficiency is therefore partly an architectural property of the shell - decided long before the fit-out - which is exactly why the architect's early moves (Lesson 2.4) matter to everything that follows. For the programmer, the rule is simple and strict: state which area you are counting, every single time, and never mix layers in one calculation.

Desk density and the direction of travel

Desk density asks a narrower question than area per person: how much space each workstation occupies, and how tightly the desks are packed. It is driven by desk size (a 1.8-metre bench position versus a compact 1.4-metre one), the spacing and circulation between runs, and how much the floor gives over to non-desk settings. Illustrative open-plan benchmarks have long clustered around six to eight square metres of usable area per desk once local circulation is included, with dense operations pushing lower and generous or senior settings higher - but, again, calibrate these to the real plan and verify against current practice, because they swing with desk size, code-driven clearances and how much collaboration space you weave in.

The more important story is the direction density is travelling, and it is not simply 'tighter'. For years the trend looked like pure densification - squeezing more desks onto a floor to cut cost per head - and that produced some genuinely unpleasant, over-packed offices. Hybrid work changed the logic. When a substantial share of people are out on any given day, giving everyone a permanently assigned desk means paying to heat, light and clean rows of empty furniture. So the centre of gravity has shifted from assigned density to effective density: organisations provide fewer desks than people - a sharing ratio of, say, seven or eight desks per ten people is a common illustrative figure - and reinvest the floor they save into variety: more meeting and project rooms, focus booths, social space and quiet retreats.

The crucial point for a designer is that lower assigned desk density does not mean a sparser, cheaper office - it usually means a richer one. The square metres freed by sharing desks do not vanish; they move into the settings that make the office worth choosing (the through-line of this whole course). A plan that simply removes desks and leaves the space empty has missed the point as badly as one that crams in more. Desk density, read well, is less a cost-cutting lever than a clue about how an organisation works: a trading floor that must be present every day and a consultancy whose people live at client sites will land in very different places, and both can be right.

Using standards well - calibrate, do not copy

All of this converges on one practical skill: turning benchmarks into a brief that fits your actual client. The method is straightforward in outline and demands honesty in the detail. Start not from a published figure but from the real organisation - its headcount now and its credible growth, the mix of roles and how office-bound each is, the teams and how they work together, and above all how the current space is really used. If the client has an existing office, occupancy studies (Module 1) will usually show that peak attendance is well below total headcount and that meeting rooms are chronically mis-sized - too many large ones, too few small ones. That evidence, not a survey average, should drive your numbers.

From there you build an area schedule: a line-by-line list of every space type the organisation needs - workstations, meeting rooms of each size, focus rooms, social and amenity space, support and storage, circulation - with a quantity and an area for each, summed to a net occupiable total and then grossed up through the efficiency ratio to the area to lease or fit out. A benchmark figure is useful here only as a sense-check: if your built-up schedule lands wildly away from typical ranges, that is a prompt to examine your assumptions, not proof that you are wrong. The schedule is the real instrument; the single number is just its shadow.

Hold three disciplines throughout. First, state your assumptions openly - the sharing ratio, the attendance peak you are designing for, the desk size - so the client can challenge and own them. Second, keep binding dimensions with the code and the specialist: accessible clearances, egress and occupant loads are verified, not estimated, and a plan that is dense on paper but fails egress is not a plan. Third, design the split, not just the total: the same area-per-person figure can yield a grim desk-farm or a generous, varied destination, and which one you get is the part the spreadsheet never shows. Calibrate, schedule, verify - and remember that the best numbers in this field come from studying one real organisation, not from copying a figure out of a book.

Density is ultimately capped by egress capacity and occupant load, not preference. Verify every binding value against the current code and a fire/life-safety specialist.

The efficiency of a workplace is largely decided in the shell, before any standard is applied. Floor-plate shape and depth, the size and position of the core, the column grid and the structural bay all set the net-to-gross ratio and how cleanly desks and rooms can be planned - and they are fixed long before the fit-out team arrives. When you brief or assess a base-build, test it against real occupancy logic, not a generic person-per-square-metre figure: a compact central core, a plate deep enough to be efficient but shallow enough for daylight to reach, and a regular grid will let every later layer use area well. Treat published densities as illustrative, size from a real area schedule, and keep egress, occupant load and accessible clearances with the code and the life-safety and accessibility specialists.
