Furniture Selection & Specification
Furniture is the part of the design people touch for eight hours a day - so we choose it for how bodies use it and how it lasts, and specify it through a disciplined process that protects that choice all the way to the installed chair
People forgive a lot about an office, but not a chair that hurts by four in the afternoon - furniture is design you feel in your body.
Of everything a workplace designer chooses, furniture is the most intimate. A person may never notice the ceiling grid or the corridor width, but they sit in the same chair, at the same desk, for thousands of hours, and their back, neck and wrists keep the score. Furniture is also where the palette of settings stops being a diagram and becomes real: a 'focus booth' is just a drawing until there is a comfortable seat, a work surface and the right light in it; a 'collaboration zone' is an empty rug until the right tables and soft seating make people actually use it that way.
This lesson treats furniture as both a human and a procurement discipline. We will walk the main furniture families and what each is for; weigh ergonomics and the honest trade-off between quality and budget; follow the FF and E process by which furniture is specified, sampled, procured and installed; and look squarely at the Indian furniture market - local manufacture, imports, custom joinery, lead times and the gap between a catalogue photo and what turns up on site.

The furniture families and what each is for
Office furniture sorts into a handful of families, and specifying well starts with knowing what job each one does in the palette of settings. Desks and workstations are the backbone of the focus world - individual or bench-shared surfaces, increasingly height-adjustable (sit-stand) to let people move through the day, often built from systems furniture where a kit of panels, beams, surfaces and storage clips together so a floor can be reconfigured without a carpenter. The desk's real job is a stable, generous, well-lit surface with tidy power and cable management and enough personal stowage to make a shared desk feel usable.
Task chairs are the single most important piece in the building, because they carry the body for the longest. A good task chair is defined not by its looks but by its adjustments - seat height, seat depth, backrest and recline, lumbar support, armrests - which let one chair fit many different bodies comfortably over a long day. Soft seating - sofas, lounge chairs, ottomans, booths - does the opposite job: it signals relaxation, invites informal conversation and gives the social and collaborative settings their warmth; it is posture for minutes, not hours, so comfort and character matter more than fine adjustment.
Tables span a huge range by use: meeting tables sized and shaped for the number and kind of conversation, height-varied tables (standing, cafe, lounge) that set the energy of a space, and flip-or-nest training tables that let a room change function. Storage - from personal lockers and caddies that make hot-desking work, to team cupboards, to the shelving that lines a library or a pantry - is easy to under-provide and quietly decisive: when there is nowhere to put things, desks and settings silently fill with clutter and stop working as designed. Read the settings plan from Module 3, and the furniture schedule is really the list of pieces that turn each of those settings from a label on a drawing into a place someone wants to use.
The task chair is the most important object in the building - it carries the body longest. Specify it by its adjustments, never its photo.
Ergonomics, and the honest quality-versus-budget trade-off
Ergonomics is the study of fitting the work to the human body rather than forcing the body to fit the work, and in furniture it has a clear, evidence-backed core: people are different sizes, they stay healthiest when they can change posture through the day, and discomfort over thousands of hours turns into real musculoskeletal harm and lost days. The practical consequences are simple. A task chair should adjust independently in the key dimensions so it fits the actual range of people who will use it. A desk at a fixed, generous height - or better, height-adjustable - lets people sit and stand. Screens, keyboards and light should be positionable so the neck and wrists stay neutral. You do not need to memorise the binding dimensions; you need to specify furniture that is genuinely adjustable and then defer the exact anthropometric and workstation numbers to the current ergonomic standards and, where it matters, an ergonomist.
This runs straight into budget, and honesty helps more than idealism. Furniture is often one of the largest single lines in a fit-out, and there is a real, not imaginary, difference between a cheap task chair and a good one: the good chair adjusts properly, keeps its comfort and its gas-lift for years, and is repairable; the cheap one sags, squeaks, stops adjusting and is in a skip in two years. But more money is not automatically better, and the skill is knowing where to spend and where to save. The honest rule of thumb: spend on the things bodies use hardest and longest - task chairs above all, primary desks, the pieces in daily heavy use - and economise on the pieces used lightly or briefly, on visual extras, and on over-speccing settings that will rarely be occupied. A brilliant chair under every worker and simpler soft seating in the lounge beats designer sofas above chairs that hurt. Buy fewer, better pieces where it counts, and resist the temptation to spread a thin budget evenly across everything.
The FF and E process: how furniture is actually specified
FF and E - furniture, fixtures and equipment - is the discipline that turns 'we need good furniture' into the right pieces installed and working, and it is a process precisely so that the design survives contact with budgets, suppliers and a live site. It runs in recognisable stages, and quality is protected (or lost) at each one.
It begins with the brief and quantities: from the settings plan, how many of each type of piece are needed, of what kind, to suit which people and work. Then specification and scheduling: each item pinned down in an FF and E schedule - exact product, range, model, finish, fabric, dimensions, quantity, location, and the commercial essentials of warranty and lead time - so there is no ambiguity about what is being bought. Then sampling and prototyping: getting real chairs and samples in to sit on, feel and sign off, because a catalogue photo and a showroom sample can differ sharply, and a mock-up of a typical workstation or setting catches problems before they are multiplied across the floor. Then tender and procurement: pricing the schedule, choosing suppliers on value rather than headline price alone, and placing orders early enough to beat long lead times. Finally delivery, installation and snagging: coordinating the sequence so furniture lands after the finishes are in and the floor is clean, then checking every delivered item against the schedule and raising defects before sign-off and payment.
Two stages quietly decide whether the design you drew is the design people get: the sample sign-off, which is your last chance to catch a chair that looks right but feels wrong, and the snagging inspection, which is your leverage to reject wrong finishes, missing parts and damage while the supplier still cares. Skip or rush either and the installed reality drifts from the specification - usually in the cheaper, worse direction. A disciplined FF and E process is not bureaucracy; it is how good intentions become a good chair. It also needs coordinating with the rest of the project, because furniture does not arrive into a vacuum: power and data have to land where the desks will sit, the floor has to be finished and clean before delivery, and the installation has to be sequenced so pieces are not damaged or left blocking the trades still working. The designer who owns that sequence, rather than hoping it resolves itself, is the one whose furniture is in place, undamaged and working on the morning the client walks in.
The Indian furniture market - local, imported and custom
Specifying furniture in India means working with a particular, fast-maturing market, and knowing its shape saves both money and disappointment. Broadly there are three routes, and good projects blend them. Domestic manufacture has grown strong: established Indian and India-based office-furniture makers produce capable desks, systems furniture, task chairs and storage at prices and lead times that imported equivalents cannot match, and local supply means easier service, spares and reconfiguration later - a real advantage over the life of the fit-out. Imported international brands bring the top tier of ergonomic chairs and design-led pieces, and sometimes there is no domestic equivalent for a specific performance or aesthetic, but they carry higher cost, long shipping lead times, duties, and a harder path for spares and repairs years on - so they are best reserved for the pieces where that premium genuinely earns its place, typically the task chairs people live in. Custom joinery and local fabrication is a distinctive strength of Indian practice: skilled carpenters and fabricators can build reception desks, bespoke storage, banquette seating and feature pieces to measure, often economically, which lets a modest budget achieve character and a perfect fit - provided the detailing and quality control are tight.
The honest cautions are practical. Lead times vary enormously - standard domestic stock can be quick, imports can take months, custom joinery depends on the workshop's queue - and furniture that arrives after handover is a project failure, so ordering early and tracking delivery is part of the job. The gap between catalogue and reality is wider in a price-competitive market: sample and inspect rather than trust a photo, and beware the cheap lookalike chair whose adjustments fail within a year. And after-sales service, spares and the ability to reconfigure matter more than they seem on day one - a locally supplied, well-supported range that can be added to and repaired often serves an organisation better over ten years than a glamorous import that cannot be matched when the company grows. Specify for the whole life of the furniture, not just the purchase.
Blend the market: local manufacture for the bulk, an import where it truly earns it, custom joinery for character - and order early, because late furniture is a failed project.

Workshop - build a furniture spec for one setting
Furniture is learned by specifying it against a real use. You will take one setting from a palette, choose its furniture family by family, make explicit quality-versus-budget calls, and draft the FF and E line items that would actually buy it.
A setting you can picture or observe, a notebook or spreadsheet, and ideally a furniture catalogue or two to ground the choices. No specialist software needed.
Goal: a furniture specification for a single setting, with reasoned trade-offs. Inputs: one setting you can picture or observe (a focus booth, a team neighbourhood, a cafe corner, a meeting room) + this lesson + a sheet. Time: ~45 minutes
- 1Define the setting and its use: who uses it, for how long at a time, and what posture and activity it supports (heads-down hours? a quick chat? a training session?).
- 2List the furniture families the setting needs and choose a specific answer for each - desk/surface, seating, table, storage - sizing and shaping each to the real use and the number of people.
- 3Make the quality-versus-budget call explicit: mark where you would spend (the pieces bodies use hardest and longest) and where you would save, and justify each in one line.
- 4Draft three to five FF and E schedule line items for your choices - product type, key spec/finish, quantity, and a note on warranty or lead time - as if ordering them.
- 5Name the one sample you would insist on sitting in before ordering, and the one thing you would check on delivery, and say why each protects the design.

Three altitudes on the same idea

Furniture is largely the interior designer's and FF and E specialist's territory, but the base-build decides whether good furniture can work. Floor-to-floor height and any raised access floor determine cable management and whether sit-stand desks and power reach cleanly; structural grid and core position set the bays furniture has to fit; and loading docks, lifts and door widths decide whether large furniture can even be delivered and installed - a surprisingly common late crisis. Coordinate power, data and floor boxes to the furniture layout early, make sure the building can physically receive the goods, and leave the detailed chair-and-desk specification to the interiors and FF and E team while you keep the shell furniture-ready.
Furniture selection and FF and E are core interiors work and a major part of the value you add. You translate the settings plan into the right families of pieces, run the specification-to-snagging process that protects quality, and make the quality-versus-budget calls that decide whether people are comfortable for years. Spend on task chairs and primary desks, economise with judgement elsewhere, sample everything before you commit, and inspect everything on delivery. Blend the Indian market intelligently - local manufacture for the bulk, imports where they truly earn it, custom joinery for character - and specify for the furniture's whole life, including spares and reconfiguration. Furniture is where design becomes something you can feel, so it is a great place to train your judgement.
