The hook

The most common question in signage has a deceptively simple answer: how big the letters must be depends almost entirely on how far away they will be read.

Ask a room full of people how large the letters on a sign should be and you will get a dozen guesses, because the question as asked has no answer. A letter is not big or small in the abstract; it is big or small relative to how far the eye is from it. The same 50mm letter that is crisp and comfortable across a small lobby is an illegible speck from the far end of an airport concourse, and overkill on a door you read at arm's length. So the real question is never 'how big should the letters be?' but 'from how far away must this sign be read?' - and once you know the distance, the size follows.

That relationship - letter height scales with viewing distance - is the quantitative backbone of sign design, and there is a widely used rule of thumb for it. But a rule of thumb is exactly that: a starting figure to get you in the right range, to be calibrated and verified against the governing standard, the real conditions and a test on the wall - not a law to apply blindly. This lesson gives you the relationship and the rule, shows how to size a whole sign (not just one line) by hierarchy, and draws the crucial distinction between legibility - can you make out the letters and words at all - and readability - how comfortably you can read a longer passage. Keep the through-line in view: the architecture speaks first, and the sign must be sized so that, at the distance the space presents it, the stressed stranger can actually read it.

Legibility and readability are two different things

Before sizing anything, separate two words that are often used interchangeably but mean different things, because they pull design in different directions. Legibility is whether you can distinguish the individual letters and make out a word at all - a property of the letterforms, their size, their contrast and the conditions. Readability is how comfortably and fluently you can read a longer stretch of text - a property of how the type is arranged: line length, line spacing, paragraphing, the flow of connected prose. A single word can be perfectly legible but the idea of readability barely applies to it; a long paragraph can be set from a perfectly legible typeface yet be miserably unreadable because the lines are too long or too tightly stacked.

For signage this distinction is sharp and useful. Most working signs - 'Departures', 'Radiology', a direction, a room name - are about legibility: short bursts of words that must be distinguished instantly at a distance, where readability in the paragraph sense is almost irrelevant. You are designing a word to be recognised as a shape, fast, not a text to be read. That is why this lesson and the last focus so hard on letter height, contrast and letterform clarity - the legibility levers.

But signage does sometimes carry readable text: an interpretive panel in a museum, a long notice, a set of visitor instructions, a directory with many entries, a map key. The moment you have connected sentences or dense lists that people must actually read through, readability kicks in, and a different toolkit applies - sensible line lengths (very long lines are tiring), adequate line spacing, left-aligned ragged-right text, clear paragraphing, and a size and contrast that suit a sustained read at the distance that text is approached (usually closer than a directional sign). Designers get into trouble when they confuse the two - setting a long instructional panel in the giant, widely-tracked style of a directional sign (unreadable as prose) or, worse, setting a directional message in small, tight, paragraph-style text that cannot be grabbed at a glance. Ask of every piece of sign text: is this a glance (legibility) or a read (readability)? Then size and set it for that job.

A single sign is usually read at several distances. Size the headline for the long approach, the secondary line for the mid approach, and fine print for arm's length - a visible hierarchy that is itself a wayfinding cue.

Legibility = can you make out the word (a glance). Readability = can you comfortably read the passage (a sit-down). Size for the job.

The letter-height / viewing-distance relationship

Here is the quantitative heart of sign sizing. Because the eye perceives size as an angle, a letter must grow in physical height in proportion to how far away it is read, to keep the same apparent size on the retina. Double the viewing distance and you roughly double the required letter height. This gives the famous rule of thumb used across the industry - commonly quoted as something like 25mm (one inch) of letter height for every 10 metres (about 30 feet) of viewing distance for comfortable reading, with tighter ratios sometimes cited for maximum distance at which text is merely legible. So a sign read from 20 metres wants letters in the region of 50mm; from 40 metres, around 100mm; and so on.

Treat that number for exactly what it is: a starting figure to get you into the right range, not a law. It is the single most important sentence in this lesson. The real required height depends on far more than distance - the contrast of the sign, the lighting and glare, whether the reader is moving and how fast, the reader's vision (an ageing or low-vision population needs more), the typeface's actual x-height (the rule usually refers to cap height, but lowercase does the reading), whether the message is familiar or unexpected, and the governing standard for that sign type. Different authorities and standards quote different ratios, and safety and statutory signs (exit signs, traffic signs) have their own binding sizes that you must not second-guess.

So use the rule like a designer, not a calculator: estimate the maximum distance from which each sign genuinely needs to be read (walk the space, or the plan, and find where a person first needs that information), apply the ratio to get a candidate height, then verify - against the accessibility and signage standards for minimums, against the specialist for safety signs, and above all against a real mock-up viewed at the real distance in the real light. Rounding up for safety, for older eyes and for poor conditions is almost always wiser than squeezing to the minimum. The relationship tells you the ballpark; the standard and the test on the wall tell you the answer.

Sizing the whole sign, not just one line

A real sign is rarely one line at one distance - it is a small composition of messages, each needed at a different moment, and sizing it well means sizing the hierarchy, not a single height. Think about how a directional sign is actually consumed: the reader sees it first from far off and needs to know from there whether it is relevant at all (is this even the Departures sign?); as they approach, they need the next layer (which gates, which way); up close, they can take the fine print (a note, a time, an exception). Each layer is read at a different distance, so each layer is sized differently - the primary message largest, secondary smaller, tertiary smallest - producing a visible hierarchy.

That hierarchy does three jobs at once. It sizes each message for the distance it is needed at, which is the efficient use of the relationship from the last section. It tells the reader what to read first, because bigger reads as more important - the size order is itself a wayfinding cue that guides the eye through the sign in the right sequence. And it keeps the sign compact, because not everything is blown up to the maximum distance; only the top of the hierarchy has to survive the longest view. A sign that sets everything at the same large size is not only ugly and oversized, it destroys the reading order and makes the whole thing slower to use.

Sizing the sign well also means sizing the sign itself and its elements together - the type, the arrows and pictograms (which must scale with the type so they read at the same distance), the spacing and margins, and the overall panel. A cramped sign with type jammed to the edges is hard to read however big the letters; generous margins and clear separation between message groups are part of legibility, not decoration. And it means thinking about the set of signs across a journey: the long-range overhead sign at a concourse, the mid-range sign at a junction, the close-range identification sign on a door are deliberately different sizes because they do different jobs at different distances, yet they must still read as one consistent family. Size, in other words, is not a single number you look up; it is a designed hierarchy, tuned to the journey and verified on the wall.

Benchmarks are figures to verify - test it in place

Everything in this lesson is a benchmark to calibrate, not a spec to obey, and holding that attitude is what separates a robust sign from a guess. The viewing-distance ratio, any specific millimetre figure, the comfortable line length for readable text - these are illustrative starting points, as of 2026, to verify against the current standard and the specific project. There are three things you always defer. First, accessibility minimums: the current accessibility standard (in India, NBC 2016 and the Harmonised Guidelines) and an accessibility consultant set minimum character heights, tactile and braille requirements and the conditions for people with low vision - and those minimums can exceed what a plain distance calculation would give, because they are sized for a wider range of eyes than yours. Second, safety and statutory signs: exit signs, fire signage, traffic signs and the like have binding sizes and formats set by the fire authority and the relevant codes, which you follow, not optimise. Third, the typeface and contrast reality: the relationship assumes good contrast and a typeface with a decent x-height; poor contrast or a short x-height means you need more height than the rule suggests.

The discipline that resolves all of this is the oldest one in signage: test it in place. A number on a drawing is a hypothesis; a printed mock-up of the sign, mounted at the real position and viewed from the real distances in the real light, is the evidence. Walk the approach a stressed first-time visitor would take and read the sign from where they would first need it. Better still, have a few real people - including, where you can, an older person or someone with weaker vision - try to read it, because you, who wrote the words and know what they say, are the worst possible judge of whether a stranger can read them.

The reason this matters is the reason the whole course exists: the person relying on the sign is often stressed, unfamiliar, in a hurry and not seeing their best, and the cost of a sign that is a little too small, a little too low-contrast, a little too optimistic is a real person who cannot read it when they need it most. When in doubt, size up, raise the contrast, and verify. The relationship gets you close; the standard sets the floor; the test on the wall gives you the truth.

The letter-height / viewing-distance relationship is far more convincing when you experience it than when you read the formula. In this workshop you will size a sign for a real distance, then test whether the rule held.

A tape measure or your own pacing, a printer or a large screen, and if possible a second reader. The point is to test a benchmark against reality, not to trust the formula.

  5. 5Write the finding: did the rule-of-thumb size work, was it too small or too large, and what does that tell you about this place's conditions (contrast, light, motion)? State the size you would actually specify and why, and what you would still verify against the standard.

Your plan sets the viewing distances, so you largely decide how big the signs must be - and whether they can be big enough. Long sightlines and big volumes (a concourse, an atrium) demand large, high-mounted signs read from far away; tight, low corridors present signs close up. Design sightlines that let a sign be read from where the decision is made, and leave the space and mounting depth for signs sized to the real distance - a common failure is an architecture that needs a huge overhead sign and a ceiling or budget that will not allow one. Treat the viewing-distance rule as a planning figure, and defer minimum character heights, accessibility and safety-sign sizes to the standards and specialists.

You turn the relationship into actual sizes on actual signs - and you own the hierarchy. For each sign, estimate the real maximum reading distance, apply the rule of thumb to get a candidate size, then build the size hierarchy (primary, secondary, tertiary) so each message is sized for its moment and the reading order is clear. Never set everything at one size. Size arrows and pictograms to match the type, keep generous margins, and distinguish glance-legibility signs from read-readability panels (line length and spacing matter for the latter). Then verify: check accessibility minimums with the standard and a consultant, respect the binding sizes of safety signs, and mock the sign up on the wall at the real distance and light before you sign off.
